The challenge

For Atlas Management, technology is the backbone of how they deliver for clients. That standard made the limitations of their previous legacy utility provider increasingly difficult to absorb.

The most significant pain point was onboarding speed. Every time Atlas Management brought on a new property, a drawn-out setup process meant missing weeks, sometimes months, of resident bill backs before billing was fully operational. For a growing firm, that delay had a direct cost.

Visibility into the pre-bill process was another source of friction. Approvals were sent via email and accompanied by Excel attachments, a workflow that was slow to navigate and difficult to trust at scale. The portal itself added to the problem. Long load times and a cumbersome interface made routine monthly reviews more burdensome than they needed to be.

Over time, account management instability added another layer of uncertainty. With multiple contacts assigned to the Atlas Management account over the years, Dylan was not always sure who to call. That was a critical gap for a company actively growing its portfolio.

The solution

The transition began in February 2026. Atlas Management moved properties in phases, working with Zego’s onboarding team to identify utility providers, configure billing, and determine whether each property would run on flat rate or RUBS. The handoff generated no widespread complaints.

Today, resident billing is processed through the Zego portal and syncs directly into AppFolio. Monthly pre-bill reviews are handled in the portal. No Excel files, no email threads, no slow load times.

The results

Since onboarding with Zego, Atlas Management has seen a meaningful shift in how utility billing fits into the team’s day.

Pre-bill review now takes as little as five minutes per property each month. Zego’s portal surfaces billing outliers and month-over-month fluctuations automatically. Reviews stay focused rather than investigative.

Zego’s support team has also changed the dynamic for community managers. Resident billing inquiries that previously landed in a community manager’s inbox are now routed to and resolved by Zego directly.

Across the portfolio, automation has freed up meaningful capacity on both the accounting and property management side.
